Notion freelancer dashboard or Datumboard: which one watches your client sites?
A Notion template organises clients, tasks and invoices. Datumboard watches the websites themselves. See what each covers and when you need both.
Updated 5 min read
Search for an all-in-one dashboard for freelancers and most results are Notion templates, as they were when we checked on 28 October 2026. They are good at the business side of freelancing: clients, projects, tasks, invoices and income. If you build and look after websites, there is a second dashboard you need, one that watches the sites. This page explains the difference so you can pick the right tool, or both.
Short answer
- Choose a Notion freelancer template if what you need is a client list, project and task tracking, and invoices or income in one workspace.
- Choose Datumboard if what you need is to know that every client site is up, renewed, deployed and doing well in search, without checking each one by hand.
- Use both if you run a freelance business that builds and maintains websites. They answer different questions and barely overlap.
What does each one cover?
| What you need | Notion freelancer template | Datumboard |
|---|---|---|
| Client list and contacts | Yes, usually the core of the template | No |
| Projects and tasks | Yes | A project per site, no task lists |
| Invoices and payments | Many templates include an invoice or income tracker | No invoicing. Costs and revenue you record per project |
| Is the site up right now? | Only if something writes it in | Uptime and response time checks per project |
| SSL and domain expiry | Dates you type, if you remember to | Read from the certificate and the domain registry |
| Deploys and CI | Not built in | GitHub, Netlify and Vercel, next to the site's health |
| Search Console for every site | Copied by hand | All properties in one view |
| Lighthouse scores | Copied by hand | Scores lined up with your deploys |
| Price | A template, plus your Notion plan | Not final. Datumboard is in early access |
Where a Notion dashboard falls short for client sites
- It shows what was typed. A renewal date entered last year is wrong as soon as the domain auto-renews or moves registrar.
- It does not wake you up. A page cannot tell you that a site went down at 2 a.m. unless another service checks the site and sends the alert.
- It cannot see your platforms. Failed deploys, expiring certificates and falling search clicks live in your host, your registrar and Google, not in the workspace.
You can connect those services to Notion with automations, but then you are building and maintaining your own monitoring.
Where Datumboard falls short
- It is not a business tool. There is no CRM, no proposals, no time tracking and no invoicing.
- It is early. Datumboard is in early access, and pricing and features can change before launch.
- It has no public status pages today. If clients need one, use a dedicated status page tool for that part.
A setup that works for freelance web developers
- Keep clients, contracts, tasks and invoices in Notion or the freelancer tool you already use.
- Give each client site a project in Datumboard with the same name, so one client in Notion maps to the projects that belong to them.
- Let Datumboard watch uptime, renewals, deploys, search and costs, and review it weekly.
- Copy the month's uptime, incidents and search figures into the client's page or report when you send it.
Our guide to managing multiple client websites describes the weekly review and the monthly report in detail.
Where Datumboard fits
Datumboard is the website side of an all-in-one setup for freelancers: one dashboard for every client site and side project, with uptime, SSL and domain renewals, deploys, Search Console, Lighthouse and costs. It is in early access, and you can join the list below.
Frequently asked questions
Can a Notion dashboard monitor my client websites?
Not by itself. A Notion page shows what you or an automation write into it. To know that a site is down or a certificate is about to expire, something outside Notion has to check the site and either alert you or write the result in.
Does Datumboard replace a freelancer CRM or invoicing tool?
No. Datumboard has no client pipeline, proposals, time tracking or invoicing. It records the costs and revenue you enter per project, which shows which projects pay for themselves, but it does not bill your clients.
Should a freelance web developer use both?
Often, yes. Keep clients, contracts, tasks and invoices in Notion or a dedicated freelancer tool, and use Datumboard for the health of the sites themselves, from uptime and renewals to deploys, search and the cost of each project.
